The final handoff is where version control becomes real
A delivery document can be perfect on screen and still fail operationally if the recipient receives an old screenshot, a different file from the one the warehouse used, or a message with quantities that do not match the PDF. Before sending, stop editing, review the final parties, destination, item lines, prices and terms, then generate the printable version. Treat that PDF as the snapshot of the handover. If something changes afterward, create a corrected version rather than silently changing the source and continuing to refer to the old file as if nothing happened.
PDF is useful because it freezes presentation and context
A PDF keeps the title, document number, parties, item table, totals, custom fields and footer together. That matters when a document is forwarded outside the original chat or opened on another device. Plain-text messages remain useful for quick coordination, but they are easier to edit, quote partially or separate from their context. A clean workflow uses the PDF as the formal snapshot and the message as the delivery channel. The recipient can read the summary in the conversation and still retain the complete document for records.
- Review the printable document before sharing
- Use a clear document reference in the filename or message
- Avoid sending multiple unlabeled versions of the same handover
- Keep the sender's copy of the same final version
- Create a revision when facts change after sending
Email can prepare a copy for the document creator
When the user chooses email, 5SOLO can prepare the email with the recipient details and the creator's address in BCC so the sender has a copy of the outgoing message. This is useful for small businesses that do not have a document-management system but still want an independent trail in their mailbox. Browser email links have limits: the final send action happens in the user's mail application, and attaching a PDF that exists only on the local device may still require the user to add the file manually. The interface should be explicit about that rather than pretending the browser has server-side delivery powers it does not have.
WhatsApp sharing has stricter browser limits
A standard WhatsApp share link can prepare a message and open the correct conversation, but it cannot prove that the user pressed Send and it cannot silently transmit a second copy to the creator. In the current browser-based workflow, 5SOLO prepares the recipient message and can also prepare a creator-copy message, but the user completes the send actions. Fully automatic delivery, attachment handling and confirmed copies would require an authorized server-side WhatsApp Business integration. That distinction matters because an interface should never label a message delivered when it merely opened a compose screen.
- Prepared is not the same state as sent
- A wa.me link cannot confirm final delivery
- Local PDF attachment may require a manual attach step
- Automatic creator copies require server-side WhatsApp infrastructure
- Keep the limitation visible so the user knows what is still pending
A creator copy protects the business from its own memory
The purpose of a creator copy is not surveillance. It is continuity. Two weeks later the sender should be able to answer which quantities were communicated, which requested price was shown, what return date appeared and which recipient was addressed. A copy in email or WhatsApp is useful, but the strongest habit is to preserve the final PDF as well. The document itself is the stable reference; the message history shows how it was transmitted and discussed.
Use a simple send checklist until automation is justified
For many small businesses, a disciplined manual workflow is enough: complete the document, validate required fields, print or save the PDF, send it to the third party, send or preserve the creator copy, and record any correction as a revision. Server-side email and WhatsApp automation can be added later when volume justifies the infrastructure, provider costs, authentication and delivery logging. The important part is that the process does not depend on somebody remembering what they typed in a disappearing chat. 5SOLO gives the business a structured source document first, then makes the sharing limitations explicit.
Create the document while the details are still fresh
Open the standalone 5SOLO delivery-document tool, choose the document country and type, add the parties and goods, then review the A4 version before you send it.
Create a delivery documentFrequently asked questions
Does clicking the WhatsApp button mean the document was sent?
No. A browser share link opens a prepared message. The user must still complete the send action, and the website cannot confirm delivery from a standard wa.me flow.
Can 5SOLO automatically attach the locally saved PDF to email or WhatsApp?
Not reliably through normal browser share links. The user may need to attach the local PDF manually. Full attachment automation would require server-side provider integrations.
Why keep a creator copy if I already sent the document?
It gives the sender an independent reference for what was communicated and helps resolve later questions about quantities, prices, dates or terms.
Can automatic sending be added later?
Yes. Server-side email and WhatsApp Business integrations can automate delivery and logging, but they require provider configuration, authentication and ongoing operational cost.
